Okay, I recently posted the news on Google's new synchronization effort to include Gmail, I decided to do some research and create a well organized (Better than Google's) guide on to properly setup an exchange server with Google's servers. This is for Windows Mobile devices running WM5 or later, though I suggest 6.5 releases due to their support of kinetic scrolling.
1. What is Google Sync?
Google Sync is a beta feature by Google that allows you to synchronize your cloud-based Google services (Such as Gmail, Google Contacts, Google Calendar, etc.) with your PC, handheld, and is widely cross platform. Rather than have a Outlook configuration and have to browse the web for your mail, etc. Google Sync allows you to package all of these things into one, easy to read and comprehend service.
2. Wow! That's awesome! How does it work with Windows Mobile?
On Windows Mobile, you can view the synchronized content through three main parts of the software
A. Outlook Contacts. Your contacts list from Google Contacts will be updated into your windows mobile contact page, allowing you to phone, text, and email people.
B. Outlook Mail. Your email will be updated with your Gmail account, allowing you send and receive push email
C. Calendar. The Windows Mobile Calendar will update with all of your Google Calendar appointments and correspond with those on your device.
Google Sync goes both ways, meaning you can update your contacts on your device, and in turn have its changes appear on your Google Contacts page on the Google Cloud.
Google Sync connects to all of these features using Activesync, through something called an Exchange Server
3. What's an Exchange Server?
An Exchange Server, in short, is a corporate sync server.
If you are an older fan of Windows Mobile, you'd know it was designed for corporate groups to use the devices and sync their contacts, appointments, mail, etc. with whatever they have on their corporate computers. This is typically done with Activesync, but once wireless internet took off, people decided they could also sync such content over WiFi and 1x/3G
As a result, the idea of wireless syncing over the internet with a server, called the Exchange Server, was born.
Google has setup such an Exchange Server, and now your cloud content on their computers can be accessed and synchronized, allowing you to better manage the content.
4. That's amazing! How do I get started?
To get started, you first need to ensure you're properly connected wirelessly to the internet. Whether it be WiFi or 1x/3G, ensure you can browse the web wirelessly, once you have that configured, we can prepare your Google Account to sync.
Step 4a. Backup.
Google Sync is not perfect, not by a long shot. To add, its still in beta. We don't want to risk losing our favorite phone numbers and contacts (That took months to get,) overnight. So we pick up PIM Backup.
Use PIM Backup to backup your contacts, appointments, etc.
Once you backup using PIM Backup, Delete all of your contacts, appointments, and email accounts. We will let our Exchange server do all the work for that, and to prevent any contradictions in the content in the future, and to ensure everything gets changed when we sync and nothing is left behind.
After you have a clean slate, its time to make sure Google doesn't.
Step 4b. Prepare Google.
If you haven't already, setup an account with Google.
Now, we can't just start syncing, we need to make sure all three of our services that we will be syncing (Contacts, Calendar, Gmail) have accounts, and have content.
If you don't want to setup any of the following, just skip the stop labeled for each one you don't want to setup for syncing
To Setup GMail
Go to http://www.gmail.com
Ensure you have an account setup, and note the full email on the top right for future reference.
Ensure you have at least ONE email in your account.
And you're done!
To Setup Google Contacts
Go to http://www.google.com/contacts
Ensure you have an account setup by logging in with your Google Credentials
Ensure you have at least ONE contact in your "My Contacts" Folder area. Add all your interested contacts and save them in your interested groups
And you're done!
To Setup Google Calendar
Go to http://www.google.com/Calendar
Ensure you have an account by logging in with your Google Credentials
Ensure you have at least ONE appointment in your calendar for your Google account. It doesn't matter so long as you have an appointment. If you do not put an appointment in, you will get an error.
Add all your appointments and set them to their proper occurences
And you're done!

And now we have all three services ready to be synced!
Step 4c. Setup the Exchange Server
Setting up the Exchange Server is tricky, it took me a few tries to work out the kinks, but the hardest part is over with! (setting up the Google Software) Now we just have to properly input all the information.
First off, you need to remove any previous partnerships. This includes USB and Exchange server connections. Just so you know, you can only have one exchange service at a time, meaning you cannot sync corporate email and google Sync at the same time. Sorry!
Now that we are clear. we will have a blank screen looking like this.
Click the "Set up your phone to sync with it" button, and it will bring you to a page like this
((IF YOU DO NOT GET THIS PAGE, SKIP TO THE NEXT IMAGE))
As you can see, its asking for an email and if you want to detect settings.
Uncheck the detect settings, and enter your full google email (Often it will be [email protected])
Once you enter the information, click the next softkey at the bottom right
Now click the softkey next to continue, (if you did not get this page at all, just skip to the next picture)
Now you will arrive at
As you can see, it wants a server to connect to,
enter in the Server Address: m.google.com
Check the "This server requires an encrypted (SSL) conncetion" box
Move on and click the next softkey at the bottom right
You will then arrive at this page
Here you enter your user credentials.
For Username: Enter your FULL Email ([email protected] in my case)
For Password: Enter your FULL password
For Domain: leave blank (If it DOES not let you leave it blank, enter 'Google')
Check the "Save Password" box so you don't have to enter it again and again
After you entered all of these credentials, click the softkey next on the bottom right
Now we get to choose what to sync!
Check the Contacts Box if you prepared your contacts from above
Check the Calendar Box if you prepared your calendar appointments from above
Check the Mail Box if you prepared your mail from above
DO NOT check Tasks or Text Messages, as I do not believe they work well enough yet ( I do not support them in this how to,)
Tap the menu softkey on the bottom right, and choose Advanced.
As you can see here, check your syncing is correct.
This is up for you to change as you find necessary. If you want to update things on your end, select
"Keep the item on my Device"
If you want to update things on the cloud end (making changes on Google Contacts), Select
"Replace the item on my Device"
Change this as needed in future syncs
Click Save, and then Click Finish to finish your sync settings
And we're ready to sync!
Call it crazy, but Google may freak out on your first sync, so be sure to sync 1-3 times in a row before being finished, that way you know for a fact your contacts, appointments, and mail are all properly updated.
Last but not least, for minor tweaking, click the Menu softkey, then Schedule
Here a wide set of options to decide (based on battery, time, etc.) how often and when you want to sync your data on the exchange server. This is up for you to decide.
And now Google will Sync properly, Congratulations!
One last thing, remember Push Email is not friendly to your battery!
ATTACHMENTS IN GOOGLE SYNC
At the moment, Google Sync only supports attachments from other gmail accounts. This means if someone from @gmail.com sends you an attachment, it will arrive over Google Sync, otherwise you will not receive it. This is NOT a Windows Mobile Issue, this is on the Google End and is currently being work on by their engineers.
If you are STILL not receiving attachments from other gmail accounts, ensure the following settings are in place.
Go to Activesync, and click the menu right softkey, from there, select options. you will enter the settings page showing all the content you are syncing. Click the email day and click settings.

As you can see by the image, you need check the "Include File Attachments" Key
I'm sure this will include None Gmail addresses as soon as Google Fixes it! I will update this when it does happen!

Here are a list of errors that may occur when trying to sync
support code 0x85010004 - "Your account in microsoft exchange does not have permission to synchronize..."'
Something you're trying to sync is not properly setup, see the above step 4b to make sure your Google services you're trying to sync are setup properly. Also make sure you're not trying to sync something you may not be able to (such as tasks or text messages)
(At Enter User Information) "Please Enter your correct credentials"
Ensure you are using the RIGHT gmail email (It may be @gmail.com or @googlemail.com) and RIGHT password.

I set this up and am stoked with it. Is there a way to have my desktop Outlook sync via exchange as well? I tried setting up an account but got errors so I am curious if anyone on XDA has tried it/gotten it working?

Thanks for the supportive info on tasks, and i'll add it to the Troubleshooting page to support my fact of how you cannot sync certain items and need to delete all partnerships prior
And YES! You can sync the Google Cloud with your PC, Mac, Linux, pretty much any OS!

Google pc sync is lacking contact sync but it has a plugin for calendar and you can use imap for email. Not quite the same but will work good enough.

What is about appointments categories? As far as I know, and last time i tryed, all categories were gone after sync because GoogleCalender does not support categories at all... Is the category-feature fixed or added?

I just heard that Inesoft Calendar can sync with Google and display multiple calendars. I did not try myself.

Hmm, I followed all these steps and got the gmail working via exchange but emails are not pushing to my device. I still have to hit send/receive to get the mail synced.
Any ideas on how to get the 'push' working?
I answered my own question, I had to go into ActiveSync then MENU then SCHEDULE. By default Sunday is an OFF PEAK time and it was only getting messages every 60 minutes.
Turned off OFF PEAK and everything is flying.

As for Contacts and PC, i think thats because Email covers the contacts part (in GMail's mind) but I may be incorrect. It could just be that people dont really store contacts on their PCs too much aside from Email
As for categories for the appointments, you can set a status, which I suppose is the closest thing to a category. This is a Google Calendar-end issue, you can try to change the category on the PPC end, and then config Sync to change items on their end when there is a conflict, but it may not carry over. Good luck!
I've noticed that gmail doesn't support push of email attachments yet, which sucks because that is how I get my voicemail messages. Just wondering if anyone has read when/if Google plans on allowing this?

I use Microsoft My Phone to sync but it does not support email syncing. I cannot use both Google Sync and Microsoft My phone together.
I would prefer to sync my contacts with MS My Phone and the rest with Google Sync.
Is there any solution?
Damn no tasks, Wish the tasks could be incorporated as well. Any shot in the future? I started to use google tasks not to long ago and sort of got into this for the ability to sync google tasks. oh well the push email is sweet anyway.

Look at it this way, 6 months ago it didnt have Gmail and it does now, its probably all coming in due time!
As for MS Myphone and Google, I have no idea. I don't use Myphone because it never syncs when i'm docked on my PC at night, though The Exchange Server does
EUREKA! I found a solution to the Attachment issue,
It seems if you set the unique settings to pickup new attachments beyond X size, they will attach. Writing attachment to guide as we speak! double checking functions and will update my post tonight
Second Post is updated with info on attachments. Unfortuantly, only GMAIL attachments go through, something to do with their servers possibly.

sure, you can add one, I have two setup on my phone. Go into settings/accounts and sync/add account. There you can choose to setup any account you want, just scroll down to more accounts and choose microsoft exchange activesync and set it up. Manual setup works best, as auto detect likely will not find your necessary settings unless you IT guys really wanted to make it easy, (unlikely).
Just follow the onscreen directions and you will have it done in a few minutes.

I really can't. Even though I followed all the instructions written about POP and SMTP address. I suspect it's a port issue.
You shouldn't be asked about POP3 settings with an Exchange ActiveSync account. It sounds like you're doing something wrong.
Add the account by going to Settings > Accounts and sync > Add account (button at bottom of screen) > Microsoft Exchange ActiveSync (you'll need to scroll down). You should not be inside Email or Social Hub when you do this. The Settings screen you need to go into is your phone's general settings screen.
On the first screen you'll be asked to enter your email address, password, domain and user name, and the address of your Exchange server. The only thing that's a bit unclear here is that you domain and user name should be in DOMAIN\user.name format.
I'd tell you what should be on later screens, but I only have 1 Exchange server to test against, and I'm not going to remove that account. Hopefully you'll be able to work things out from here.
POP3 != Exchange
Exchange Active Sync will be something like your work email if configured properly and given the appropriate permissions
POP3 is Hotmail and other random email hosting, you will most likely only need POP3
I currently have a stock Telstra ROM and will remain as a stock ROM until Telstra release the firmware so I have a warranty copy
I am having issues with the Exchange contacts and Sync - it is set to sync contacts, email, calendar, etc., and when you initially set up the account, all the contacts sync, but if I delete a contact on my phone, it remains in Outlook and if I create a new one in Outlook, it doesn't appear on my phone. The Calendar and email seem to work just fine.
This is becoming a major problem, as I have to create the contact twice, and if I forget the create it on my phone, I have no information for the client I want to call.
Can anyone offer a solution to this - is there a setting I have missed. Is it a bug?

Outllok only syncs contacts with basic information like names and phone numbers. Any extra like pictures and notes will not resync beccuase it does not recognize these fields.

I do have some contacts with contact images - which do sync the first time you set up the account. However, I created a test contact on the phone - nothing extra and it doesn't sync and I also then created a contact in Outlook with no extras, and it doesn't sync either. This must be a bug, but it is one I have to find a solution for fast, as it effects my business.

I take it that Contacts were included in the setup of adding the Exchange email account.
Can you view the email account via a web browser? If you can, then you can find out if the problem is with the phone or the Outlook on the computer.

There is no problem with the web outlook, outlook our the exchange server, it is the phone.

Go into Contacts, select Option button, Mor-> Settings -> Save new contacts to. You get the option to save to the Phone, Google (your gmail account) and Microsoft Exchange (your work exchange email account). Select the Exchange option.
When you go into Contacts, select Option buttonthen select Sync contacts. Alternatively you could just go to the email app and do a refresh, then the (Exchange email) contacts should sync.

Already have tried that - it is set to save to Exchange and doing the sync there or in "account and sync" doesn't change anything. I even contacted Samsung and all they suggested was buying Touchdown from the app store - great product Samsung has if they can't even support their own software.

Same issue here. Works fine for a few days then bam! stops syncing. the only way to get it updated is to blow out the contacts on the phone and re-do the initial sync. Which sucks if you have added contacts on the phone.
Evidently this is not an isolated issue. Based on reports from others in other forums, many of which are from IT professionals, this is a recurring issue with no discernible rhyme or reason.
I have a hotmail account. I put on my phone as an exchange account.
I added a contact via the browswer on my PC. Synced my phone and the contact appeared. Deleted it on the phone, synced the account. Checked on the PC and the contact had gone.
I repeated this with a few contacts. some started on the phone and some on the PC. I also took some contacts and modified their details. and synced. There were later modified again with different details on the PC. Every test showed that there was not a problem.
I am using the stock KF3 ROM and the test was run in the standard e-mail app. I have Enhanced Email (just so that I can sync more than 1 month).

Nope - Samsung said that there is limited support for Activesync and to use touchdown (at $20 from the market). I am using the trial of it at the moment, and even though it does sync the contacts within the touchdown app, it doesn't sync between the app and the stock contacts, which your phone uses for dialing, text, etc.
It is a major bug, and one they don't seem to want anything to do with.

I've not used Google Calendar up until now, and have synced my HTC phone with Outlook directly via USB on both my PC and laptop. However, now I've got a Galaxy Tab too, it'll be a bit unwieldly to manually sync all these devices so I think I need to sync via the cloud with Google (much as I may dislike the concept).
I've set my HTC Desize-Z to sync with Google Calendar, and created a test entry on the phone and on the online calendar, and they have both synced with each other fine. Great so far.
However even though I'm using the exact same settings and account name on my Galaxy Tab 10.1 (stock, rooted, wi-fi) it won't sync with the online calendar at all, and none of the test events that I created appear on the Tab.
Whenever I create a new event using Calendar on the Tab, I get a pop-up saying "Local calendar cannot sync with Google calendar. You need a Google account". There is an option inside the error popup to "Go to account and sync", which I select and it just takes me to my standard Accounts & Sync settings page, where my Google account is already listed correctly, with the little 'sync' icon shown in green. The details subpage has both "Sync Calendar" and "Sync Contacts" ticked, and they each show very recent sync times and will resync without errors when I click on the Refresh icon.
But still Calendar does not think I'm connected to a Google account (error popup appears as above when I add a new event) and nothing gets synced.
Anyone got any ideas? As I said, it all works fine on my phone, and Marketplace works fine on the Tab with the same account details so my Google account seems to be valid.

I've never tried to sync any kind of calendar so I can't be sure.
Some things to try are..
First of all, make sure you're connected to the internet on your tab...
Find any calendar app in the Settings>Applications>ManageApplications menu and clear Cache for them.
You could possibly try deleting your google account from the device (after stuff is backed up on it of course), then re-adding it to see if it syncs correctly.
When in doubt, reboot.
FWIW, I had a problem not seeing updates to my calendar till I realized that there were two calendars. A "local" and a "[email protected]".
In settings, you need to check off which calendar you want to see.
Thanks dannyboy, that was indeed my problem. I finally tracked it down over the weekend and was just about to post my wondrous discovery here, only to find you'd beaten me to it.
Same applies with Contacts by the way. My PC-synced ones had all gone into a section which does not sync with Google, so I exported them all to a file and then re-imported them into my google-synced contacts list and bingo, my phone and my tab synced themselves via the cloud. One word of caution though: to remove all the duplicates that I then had on my phone, I selected 'phone only' view and deleted just those entries visible in that mode - only to find that the phone deleted the Google ones too (which were not selected to be viewed) and immediately propagated the deletion of everything to my other devices!!! Thankfully I'd still got the export file, so I just imported them again and they all flowed back. I could always have grabbed a backup off the laptop, but even so it highlights the dangers of automatic cloud syncing!

I have my phone setup to sync my Outlook contacts, calendar and e-mail via ActiveSync and my Hotmail account. This appears on the phone as a Corporate Exchange account using MS servers, but in reality it is just the Hotmail cloud (no Exchange client). It works fine for me (although contact photos only sync from Outlook to phone, not vice-versa), but I have a problem with contacts I create on the phone. There is no way to assign them to an account so they end up not syncing to my Outlook, which only syncs contacts bearing the corporate symbol or that have been joined from Facebook to an existing Outlook contact. I've looked all over and not found any way to either create a contact on the phone under a specific account or to convert one after the fact. The only workaround I have found is to create a new contact in Outlook with the same name, wait until it syncs to the phone, then join it with the existing contact on the phone. This is obviously not optimal. Any ideas?
I'm looking for information on this as well.
In my case, my calendar, contacts, (tasks?) and email are all being syncronized via corporate exchange. I try to use my corporate exchange as my base point, so I would like to keep my contacts there by default.
When creating a new contact, I do not see how to designate where the contact is to be stored. I would think I would be given the option to save it under:
Exchange
Gmail
or phone.
I thought this used to be an option, but I'm not seeing it under the latest Unamed ROM.
Has this option been removed? or am did I ever have that option?

I sync all of my contacts and calendar to Outlook using MyPhoneExplorer. you can get the app for free in the market and download the program directly to your computer (do a google search to find their website to download the desktop version). If your phone is on the same (wifi) network as your computer you can even sync wirelessly. It syncs perfectly in both directions - phone to computer and vice versa.

I've also heard that the Kies program works. It can be downloaded from the Samsung website.
Under sync settings, I unchecked the contacts sync for Gmail so now by default all new contacts are saved to Exchange.

Maybe NOT synching the Gmail account, made this option available but suspect it was just buried deeper than I remember.
I thought this used to be a context option.

I use to use MPE on my Captivate and it was a bit of a pain. I also had issues with it losing contacts and/or scrambling them up. Using ActiveSync with Outlook is the best way and thanks to Iqak I have it working as it should.
I have multiple companies, and have 20+ e-mail addresses in the standard mail app. One of the accounts is a Hotmail account, which I forward all the other addresses to, to take advantage of the Hotmail Push feature (I used to use GMail, but HTC no longer supports GMail automatic setup in the standard mail app, so there is no Push option).
The reason I have the other accounts (aside from the Hotmail account) is so that when I receive a message, I can choose to reply to a message received by Hotmail, using the appropriate business email address/server.
I recently had to wipe my phone and set everything backup (don't ask), and now, although I have all accounts aside from the Hotmail account to NOT sync, every once in a while I see that the sync option on the other accounts re-enables itself. At first, I thought it was just an anomaly, but today I happened to see a message on my phone that said, "Syncing to platform", and then all the other mail accounts began syncing again. So, now I know that when the phone "syncs to platform", it resets all my sync settings on the mail app. This NEVER happened before. How do I stop this? I've looked at the Privacy app, and there is a choice to turn off the "Backup my settings" option, but when I go to turn this feature off, I get a warning that this will "stop backing up my Wi-fi passwords, bookmarks, other settings, and app data, and erase all copes on Google servers". Is this the feature I need to disable? If so, does this mean that my online Google account will no longer know what apps I download, and when I go into a wi-fi zone, I will always have to remember the password for each wi-fi zone?
